The managed method in depth
How the managed AI receptionist works.
We learn how your business handles enquiries, design the conversation with you, test every route and launch under supervision. You approve the assistant before it speaks to customers.
Meet Olivia
Your calls, answered by Olivia.
Olivia is our AI receptionist. Yours can use a name and greeting that suit your business. She always tells callers she's an AI assistant and that they can ask for a person.
How a trade call is handled
From the first ring to a booked visit.
- 01Emergency or routine?
Olivia asks what has happened and follows the rules you agreed for what counts as an emergency — a leak, no heating, a door that won't lock — and what can wait for a booked visit.
- 02The details you need
Every call ends with the same useful record, so you can call back or turn up ready.
- Name
- Postcode
- The problem
- How urgent it is
- Access details
- Best callback number
- 03A visit or survey in the diary
Routine jobs are booked into the slots you allow, and the customer gets a text confirming it.
- 04Urgent calls passed to you
If the call meets your emergency rules, or the caller asks for a person, Olivia passes it to your mobile. If you can't take it, she takes the details for a callback.
It won't quote for bespoke work. It books the survey or visit so you can quote properly.

How we work together
Three conversations, then she's yours.
i.
A cup of tea and your diary
We learn your work, your area, what counts as urgent and how you like jobs booked.
ii.
You ring her first
Try to catch her out. We adjust until she sounds like your business, then you approve her.
iii.
A monthly catch-up
What came in, what was booked, what to improve. Every call, or only the ones you miss. Your number stays yours.
A day with Olivia
You do the work. She looks after the phone.
An illustrative day from Bedford to Croydon. Names and places are examples, not clients.
07:40
On the M1
A landlord in Bedford rings about a dripping tap. Olivia books Thursday morning.
11:15
Up a ladder
Two quote requests from Leeds. Both booked in for a survey visit.
13:05
Lunch, at last
‘Do you fit bathrooms?’ Olivia answers from your own list of services.
19:42
Tea on the table
Burst pipe in Harpenden. She calms the caller, books 8am and texts you.
23:10
Fast asleep
Locked out in Croydon. Marked urgent and passed to your on-call mobile.
One older UK survey found 69% of callers would not leave a voicemail. Moneypenny Small Business Call Report, 2016
Before you decide
The questions owners ask us first.
The setup fee pays for the work before launch: discovery, scripts, diary and urgent-call rules, testing and your approval. The monthly price covers the calls, the messages to you and our ongoing care.
- Who looks after it?
- Billy Kukadia, our founder, is your named contact. You speak to a person who knows your setup, not a ticket queue.
- What happens during setup?
- We learn how you work, then write the greeting, questions, booking rules and urgent-call rules with you.
- How is it tested?
- We ring it ourselves with awkward, real-world calls. Nothing goes live until you have heard it and approved it.
- What if Olivia can't answer?
- She says so, never guesses, and takes the details for you to call back. Callers can ask for a person at any time.
- What do I receive?
- A message after each enquiry with the name, postcode, problem, urgency and any booking.
- How do I ask for changes?
- Tell your contact. New prices, holidays or rules are updated for you and checked before they go live.
- What does ongoing management include?
- Supervised first weeks, a monthly review of calls and bookings, and tuning when something could work better.
